Purpose of Role
To provide back-office scheduling and coordination support — booking and updating jobs, keeping field staff informed of their daily work, and acting as the communication link between field engineers, the client and internal management. This is an administrative and coordination role, not a delivery or management role.
Key Responsibilities
Scheduling & Coordination
Schedule and allocate daily jobs to field engineers based on instructions from the delivery manager.
Update job status in real time on the internal system (Sweeper App) and client portals.
Communicate daily work plans to field staff and confirm attendance/start times.
Keep in contact with field engineers throughout the day to track progress and log updates.
Coordinate re-scheduling of jobs where delays, blockers or no-access occur.
Stakeholder Communication
Act as the communication link between field staff, the client and internal management.
Relay job updates, completions and issues clearly and promptly to the relevant party.
Handle routine client queries on job status and progress.
Escalate disputes, delays with commercial impact, and any failed or high-risk jobs to the manager rather than handling them directly.
Documentation
Chase and collect required job evidence from engineers (photos, notes, completion records).
Maintain accurate, up-to-date job records, trackers and spreadsheets.
Ensure all jobs are documented to the required standard before being marked complete.
Keep records organised and retrievable for audit, invoicing and client queries.
Reporting
Produce and send routine daily progress updates to the client and management.
Compile end-of-day and weekly reports on job status, completions and outstanding work.
Highlight recurring blockers, delays or productivity issues in reporting.
Support the manager with ad-hoc reports and data as required.
Essential Requirements
Fluent spoken and written English — clear, professional communication is essential.
Strong organisation and ability to juggle multiple jobs and updates at once.
Confident communicating by phone, WhatsApp, email and Teams.
Comfortable using apps, portals, Excel and reporting tools; quick to learn new systems.
Accurate and detail-focused in documentation and record-keeping.
Reliable and able to work a full UK shift remotely without close supervision.
Desirable
Experience in a scheduling, dispatch, admin, coordination or reporting role.
Background in telecoms, utilities, construction, logistics or field service.
Familiarity with job-tracking or CRM systems.
