Job Purpose
The Petrol Pump Manager is responsible for the overall management and profitability of the filling station by ensuring safe operations, excellent customer service, accurate inventory control, effective staff supervision, financial discipline, and compliance with company policies and regulatory requirements.
Key Responsibilities
1. Operations Management
Oversee daily operations of the fuel station.
Ensure uninterrupted fuel sales and customer service.
Monitor opening and closing procedures.
Ensure cleanliness and maintenance of the forecourt, office, washrooms and customer areas.
Coordinate fuel deliveries and monitor unloading procedures.
2. Fuel Inventory Management
Maintain accurate wet stock records.
Perform daily tank dip measurements and reconcile with pump meter readings.
Monitor fuel gains and losses within approved limits.
Investigate and report abnormal stock variances.
Maintain fuel inventory records and delivery documentation.
3. Financial Management
Verify daily fuel sales and cash collections.
Ensure accurate reconciliation of cash, card and digital payments.
Prepare daily sales and cash reports.
Deposit cash into designated bank accounts.
Maintain proper financial records and supporting documents.
Control operational expenses and reduce unnecessary costs.
4. Staff Management
Recruit, train and supervise station staff.
Prepare employee duty rosters.
Monitor attendance, punctuality and discipline.
Conduct performance evaluations.
Ensure staff wear proper uniforms and follow grooming standards.
Promote teamwork and high customer service standards.
5. Customer Service
Ensure courteous and professional service.
Resolve customer complaints promptly.
Maintain a safe and welcoming environment.
Encourage repeat business and customer loyalty.
6. Health, Safety & Environment
Enforce all fire safety procedures.
Ensure compliance with company SOPs and government regulations.
Conduct routine safety inspections.
Ensure proper handling of fuel and hazardous materials.
Maintain firefighting equipment and emergency response readiness.
7. Equipment & Maintenance
Monitor the condition of fuel dispensers, tanks, generators, compressors and electrical systems.
Coordinate preventive maintenance.
Report equipment faults immediately.
Minimise equipment downtime.
8. Procurement & Inventory
Maintain stock of lubricants, LPG (if applicable), and convenience store items.
Monitor inventory levels and place timely orders.
Verify deliveries and supplier invoices.
Prevent stock shortages and pilferage.
9. Security & Loss Prevention
Protect company assets.
Prevent fuel theft, cash shortages and fraud.
Monitor CCTV operations.
Ensure compliance with cash handling procedures.
Report suspicious activities immediately.
10. Reporting
Prepare and submit:
Daily sales reports.
Fuel stock reports.
Cash reconciliation statements.
Expense reports.
Staff attendance reports.
Monthly profit and loss summaries.
Incident and safety reports.
